Team and access

Invite colleagues, choose what they can see, and manage who has access to your account.

What this page is for

Team Settings is where you manage who can see your podcast data. Useful when a co-host, producer, or agency needs the numbers without sharing a login.

Reach it from your avatar menu (top right) → Manage Team.

Inviting someone

  1. Enter their email address in the Invite New Team Member box.
  2. Send the invite.
  3. They'll receive an email with a link to create their own PodAnalyst account.

They set their own password — you never handle their credentials. The invite link is tied to their email address, so it can't be forwarded to someone else.

Team admins only

Inviting and removing members is restricted to team admins. If you don't see the invite box, ask whoever set up the account.

Roles

Everyone on your team is either an Admin or Standard.

  • Admin — can invite and remove team members, change what others can access, and manage the account.
  • Standard — can view the podcasts they've been given access to, and everything on those pages. They can't change team membership.

Give Admin only to people who genuinely need to manage the account. Standard is the right default for co-hosts and producers.

Podcast access

Access is granted per podcast, which means you can let someone see one show without exposing the rest — handy for contractors working on a single series.

Under Current Team Members, each person has a Manage access button. That opens a list of your podcasts with checkboxes:

  • Tick individual shows to grant them
  • Use Select all to grant everything

A team member only sees the shows they've been given. If a colleague says a podcast is missing, this is almost always why. Check their access before assuming something's broken.

Removing someone

Click Remove next to a person's name. They lose access immediately.

Removing a team member doesn't delete anything they created — annotations and comments stay on your charts.

The current members list

The table shows everyone with access, their role, and the date they joined. This is your audit trail — worth a look whenever someone leaves your organisation.
